Why stands need their own login

Forty stands should not mean forty email threads

Without a place of their own, every exhibitor request comes through you: fix our description, who messaged us, send us our leads. The portal gives each stand that place, inside the limits you set.

Listings go stale

A listing you maintain for someone else is only as current as their last email to you. A listing they maintain themselves stays current.

Booth teams change

New people arrive on build-up day. Issuing and resetting passwords for each of them is work nobody has time for.

A message needs someone to answer it

When attendees can message a stand, someone at that stand has to see it and reply. That person is not on your team.

Leads belong with the stand

The stand does the follow-up. Its leads should be in front of its own team, not in a file you forward after the show.

How a stand goes live

From stand list to working booth

You set a stand up once. After that, its team signs in and works it without coming back to you.

    Portal, Lead Scan and Chat are separate switches for each stand. Set them one stand at a time or for a selection in bulk.

    Add the booth team

    Add each rep to the stand's team by email, and send them an invitation if you like. You can also give the stand a self-join link that registered attendees use to join its team.

    Reps sign in with an emailed link, finish the profile, write a greeting and print the chat QR. From then on the stand runs itself.

FAQ

Exhibitor portal questions

Do exhibitors need to install anything?

No. The portal opens in a browser on a phone or a laptop. Reps sign in with a link emailed to them, so there is no password and nothing to download.

Who can sign in to a stand's portal?

The reps on that stand's team. The organiser adds them by email, or gives the stand a self-join link. A rep enters their email on the sign-in page and receives a link. Removing someone from the team takes effect straight away.

Can exhibitors change their own listing?

Yes, for the fields you let them edit. Fields you mark organiser only appear locked in the portal. The portal edits text and choices; files such as a logo, product images or a brochure are uploaded from the organiser's dashboard.

What happens when an attendee messages a stand?

The conversation appears in the stand's inbox as it arrives, and the team replies as the stand. If the stand has written a greeting, it is sent as an automatic first reply. A stand can pause its chat, and the organiser can switch chat off for any stand.

Where do a stand's leads come from?

From badge scans and photographed business cards captured by scanning accounts linked to the stand, and from conversations the team saves from the inbox. They all land in one list in the portal, where the team can search, filter and add notes.

Can a stand be hidden until it is ready?

Yes. Turning off Show in the attendee app keeps a stand out of the exhibitor list, the floor plan and booth chat. Its record, team and leads stay in place, and its portal keeps working.

Can we bring in our exhibitor list from a spreadsheet?

Yes. Upload a CSV, map the columns to your exhibitor fields, review any flagged rows, and import.
